Overview

Innocean is looking for an Executive Assistant to provide exemplary personal administrative support and assistance to the Chief Executive Officer as well as manager other Company-related activities.


Duties & Responibilities

  • Prepare and edit correspondence, communications, presentations and other documents.
  • File and retrieve documents/reference materials.
  • Manage and maintain CEO's schedule, appointments and travel arrangements - according to all personal preferences as stated in CEO manual.
  • Arrange and coordinate meetings/events.
  • Accurately complete expense reporting on a timely basis.
  • Arrange for catering when necessary.
  • Monitor, respond and distribute incoming communications.
  • Answer and manage incoming calls as our protocol dictates.
  • Receive and interact with external visitors as our protocol dictates.
  • Coordinate any assigned project-based work.
  • Maintain car leases (2) according to schedule.
  • Follow pre-arranged processes/procedures according to all personal preferences stated in CEO manual on a daily, weekly, monthly schedule.
  • Extended evening and weekend work hours sometimes required.
  • Ability to handle a demanding work environment in executing on short deadlines.
  • Computer and desk work a significant part of daily activities.
  • Develop and manage agency’s social presence/strategy across all channels including company facebook, Instagram, twitter, Linked In and YouTube.
  • Create the social media calendar and contents from developing concepts to execution for agency’s social media.
  • Work with the internal creative team to develop dynamic social content for a range of initiatives (ex: events, photoshoots, campaigns, recaps, etc.)
  • Monitor trends in social media technology, tools, applications, channels, design and strategy on a weekly basis.
  • Develop and expand community and/or influencer outreach efforts.
  • Design, create and manage promotions and social ad campaigns, being sure to integrate with company’s overall marketing campaign plan.
  • Map out and quarterback the execution of agency’s website campaigns/contents/case studies for external clients.
  • Oversea company’s internal communication channel “Intranet” and work with developer on maintenance of contents.
  • Manage and oversee the agency’s culture program “Passport Challenge” and handle day-to-day communications with internal employees
  • Manage agency’s gift/swag items for external clients and new business prospects.
  • Contribute to team brainstorms as well as assist in special projects, new business pitch and assignments as needed.
  • Other duties, as assigned.

Requirements

  • Excellent organizational and planning skills.
  • Extremely proactive and a self-starter. Takes initiative.
  • Strong communication skills and fluency in English /Korean
  • Ability to manage a project from onset to conclusion.
  • Ability to gather research and manage information for various projects.
  • Strong problem analysis and problem solving skills.
  • Solid judgment and decision-making ability.
  • Maintain confidentiality.
  • Excellent attention to detail and accuracy.
  • Ability to be flexible.
  • 3+ years experience providing support at the executive level (or as an administrative assistant supporting a team)
  • Knowledge of standard office administrative practices and procedures
  • Bachelors degree preferred.
